Otter.ai seems simple at first glance. Basic = free (300 min), Pro = $8.33/month, Business = $20/month. But dig a little deeper and things get interesting.
But minutes aren’t the full story. The real differences are in conversation limits, history access, and team features. A 4-hour quarterly review can’t even happen on Pro - conversations cap at 90 minutes.
After evaluating all four tiers, here’s what each plan actually delivers and where the hidden limitations bite.

Basic Plan: Generous but Limiting
Otter’s free Basic plan gives you 300 minutes of transcription and 300 minutes of audio imports each month. For comparison, that’s roughly 5-6 hours of meeting content.
The catch: each conversation caps at 30 minutes. A 45-minute team meeting gets cut off. You can start a new session to continue, but you lose continuity and burn through your monthly allocation faster.
History is limited to your most recent 25 conversations. Older recordings disappear automatically. If you need to reference a call from two months ago, it’s gone unless you exported it.
Custom vocabulary is restricted to 5 terms. That’s enough for a few company names or technical acronyms, but not enough for industry-specific terminology.
Who Basic works for: Individual users who attend short meetings (under 30 minutes) and don’t need long-term storage. Solo consultants, freelancers, or people evaluating the platform.
Who should skip Basic: Anyone whose meetings regularly run over 30 minutes. The conversation limit here isn’t a soft guideline - it actually cuts you off mid-sentence.
Pro Plan ($8.33/month annual): The Individual User Sweet Spot
Pro removes most of Basic’s restrictions:
- 1200 minutes per month (20 hours)
- 90-minute conversation limit
- Unlimited conversation history
- Unlimited custom vocabulary
At $8.33/month annual, Pro offers excellent value for individual users. You’re paying roughly $0.42 per hour of transcription - cheaper than most human transcription services. (I’ve tested this math. It’s real.)
The 90-minute conversation limit handles most meetings. All-day workshops or quarterly reviews might hit the cap, but typical team meetings fit comfortably.
What Pro doesn’t include: CRM sync, team admin features, or multiple concurrent meetings. If you’re on overlapping calls or need Salesforce integration, Pro won’t work.
Who Pro is for: Individual contributors who attend meetings regularly but don’t manage a team. Product managers, consultants, researchers, or anyone who needs reliable transcription with long-term storage.
Business Plan ($20/month annual): The Team Solution
Business removes the monthly minute limit entirely. You get unlimited transcription, which is essential for sales teams or anyone doing customer calls all day.
Key Business additions:
- Unlimited transcription - no monthly minute caps
- 4-hour conversation limit - handles day-long events
- 3 concurrent meetings - useful for managers juggling overlapping calls
- CRM sync with Salesforce and HubSpot
- Team admin controls - user management and billing oversight
The CRM sync automatically logs meeting notes to the right account or deal record. For sales teams, this saves 5-10 minutes per call vs manual note entry.
Business vs Pro math: If you’re transcribing more than 60 hours per month (3 hours per day), Business pays for itself through the unlimited minutes alone. Add CRM sync value, and Business becomes attractive for anyone doing 30+ hours of calls monthly.
Who Business is for: Sales teams, customer success managers, support leads, or anyone whose job is primarily meetings and calls.
Who should NOT use Business: Anyone who just needs transcription for personal use. Pro handles that better. Also skip if your team doesn’t use Salesforce or HubSpot - the CRM sync is the main value add here, and it’s useless if your CRM sits empty.
Enterprise: For Security-First Organizations
Enterprise includes:
- Everything in Business
- Single sign-on (SSO)
- HIPAA compliance
- Advanced security controls
- Priority support
- Unlimited concurrent meetings
Pricing is custom based on team size and requirements. Most Enterprise customers pay $40-60 per user per month based on public references.
Hidden Costs and Gotchas
Monthly billing is expensive. Pro monthly costs $16.99 vs $8.33 annual - that’s literally double. Business monthly is $30 vs $20 annual. The annual savings are substantial but require upfront commitment.
Audio import limits. Only Basic includes separate audio import minutes. Pro and Business don’t offer this feature, which means you can’t upload recorded audio from other platforms. You’re limited to live meeting transcription.
Mobile limitations. While Otter has mobile apps, the transcription quality for phone-recorded meetings is noticeably worse than desktop recordings from Zoom or Google Meet. (Recording on your phone during a meeting? Don’t expect great results.)
No conversation intelligence. Unlike Fireflies or Avoma, Otter doesn’t analyze conversation patterns, track objections, or provide sales coaching insights. It’s transcription-focused, not analytics-focused.
Export restrictions. Free plan exports are limited. Pro and Business get full export capabilities, but the free plan restricts how you can save and share your transcriptions.
Which Plan Should You Pick?
Testing Otter: Start with Basic. Record a few meetings to test accuracy and see if the 30-minute limit is workable for your meeting types.
Individual user under 20 hours/month: Pro at $8.33/month annual. Great value for personal meeting documentation with unlimited history.
Heavy individual user (20+ hours/month): Business at $20/month annual. The unlimited minutes make the premium worthwhile.
Sales or customer-facing teams: Business at $20/month annual. CRM sync alone justifies the cost for teams logging calls to Salesforce or HubSpot.
Large organization with security requirements: Enterprise. Required for SSO, HIPAA compliance, and advanced admin controls.
Teams that need conversation analytics: Skip Otter entirely. Consider Fireflies or Avoma for sales coaching insights and conversation intelligence features.
